Roster Import File Format

The Roster Import File should be a comma delimited file that includes quotes (") around text fields. An example Microsoft Excel file can be downloaded at https://soarol.com/RosterImport-V2-Examples.xlsx

The format description below contains field "sections" for easier understanding of the format. Section labels do not represent an actual field (row) that needs to be created.

The file should contain the following rows.

  • Youth Fields
    • Field: Last Name
    • Field: Suffix
    • Field: First Name
    • Field: Middle

Roster Import

The existing Member Import function continues to provide a method for importing individual users into your Website. The Roster Import function allows you not only import users, but also add links between child, parent, and Group at the same time.

Before using the Roster Import function you should use the Roster Verify function to validate that your Roster Import file is not going to produce any errors. This step will save you ALOT of time.

Upgrading Members to Roster

For those customers who have already added members as Members you have two methods for upgrading to the Roster feature.

  1. You can edit your existing members to assign parents/youth, groups, and leadership positions. If you use this method you need to first edit each Group and designate it as Active.
  2. You can delete all your members, use the Roster Import Feature, and then reassign members to Email Lists.

Either method will take a little work to get the new data into shape. Unfortunately, there is no way for SOAR to automatically assign parents, children, and groups with the existing information contained in the Members.

Roster

It provides a means to easily keep track of organizational and contact information for the members of your organization in a single, central location.

It builds on the existing Unit Member feature to:

  • Link youth and parent records together
  • Link a members to Groups
  • Assign leader positions to youth and adults
  • Assign leaders to Groups
  • Provide the ability to de-activate a Group from future use while keeping the entity available for archive purposes
  • Provide a variety of different Roster reports through a main menu item

Roster information is only available to users that have logged in, so it is secure from viewing by anonymous/guest users.

Backup Policy

SOAR strives to provide you with a quality service. Part of that service is ensuring that your website content is backed up and protected from loss.

SOAR's backup policy includes:

  • Nightly full backups of our servers
  • As needed backups prior to server and service upgrades
  • 14 consecutive days retention of backups
  • 9 month retention of 1st/15th of month backups
  • Verification of all backup files
  • Use of industry standard backup formats
  • Random backup file testing
  • Weekly manual check of backup process
  • Storage of backup files locally and on a dedicated FTP backup server

Header Image

You can select the image that will be shown in the header (top) of all your website pages. A stock library of images has been provided for your selection.

Background

With this function you can select the background image that will be used with your website. A stock library of background images has been provided for your use.

Note: To use the background feature, you need to select a Theme that has "background" in the name.

Customize

Through this page you can customize the currently selected Theme. This includes items such as font family, font size, and colors for various portions of your unit website.

Note: Each theme may have different attributes that can be customized.

Fonts
Only fonts that are guaranteed to be on all computers are available for use. You computer may have additional fonts, but that does not mean computers of your members will have the same fonts.
Colors
Valid color values are 'none' or a hex color code such as '#FFFFFF'. The 'none' value can be used to allow the attribute to be transparent and let the background show through or to remove a color. To the right of each color value is a button that will bring up a graphical color picker to assist in selecting colors.

Theme Selection

Using this page you can change the look & feel of your website by selecting from one of the pre-packaged themes available.

Note: Selection of a new theme will discard any customizations to previous themes
